The IRB meets the 3rd Wednesday of every month. The board reserves the right to remove an application from the agenda if determined to be incomplete. If submitted after the 5:00 pm deadline applications will be considered for the next month’s agenda. Dates are subject to change due to holidays noted by an asterisk (*). Please see below regarding investigator attendance at convened IRB meetings during which his/her protocol is being reviewed.
All meetings are currently being held virtually. Submission deadlines only apply to applications verified by Research Integrity and Compliance to be Full Board. All other applications (new, renewals, and amendments) are reviewed in the order they are received. General Guidelines
- Submit protocols as early as possible.
- Submitting at least one week before the deadline allows time to address reviewer feedback before the board meeting.
- If revisions or clarifications are requested, resubmit within the timeframe provided. Late resubmissions may be deferred to a later meeting.
- Once the agenda is finalized, the Research Integrity and Compliance (RIC) office will notify the Principal Investigator (PI) of the meeting date and approximate review time.
- Principal Investigators are strongly encouraged to attend board meetings to answer questions, clarify study details, and support timely review.
- The IRB may postpone review if the Principal Investigator is absent or if a student Principal Investigator is not accompanied by a faculty advisor.
- Meeting length varies but is typically 1.5 to 2 hours.

Investigator Expectations
- Virtual attendance is expected for all Principal Investigators. Student Principal Investigators must attend with a faculty advisor (or designated faculty representative).
- Notify the Human Subjects Team as soon as possible at humansubjects@txstate.edu if attendance plans change.
- Principal Investigator attendance helps the board make informed decisions regarding the study and participant protections.
- Be prepared to wait while the board discusses your protocol and remain available to answer questions. Exact review times cannot be guaranteed.

Attendance Logistics
- Researchers will enter a virtual waiting room when joining the meeting. Research Integrity and Compliance staff will admit them when it is time to answer board questions.
- After discussion and questions, Research Integrity and Compliance will communicate the board's decision through Kuali Feedback.
- If revisions are requested, the application will be unlocked in Kuali. Revisions must be submitted within 30 days.
- Applications that remain incomplete after the revision deadline may be closed.
